Client Agreement

Terms & Conditions

These terms outline how webXcode handles project quotations, payments, timelines, ownership, maintenance and client responsibilities. Because every project is built around different client specifications, the final agreement may vary depending on the required scope of work.

webXcode Terms

Project terms are shaped around each client and each build.

webXcode works on custom websites, mobile applications and digital platforms. Each quotation and contract is prepared according to the specific requirements, features, timeline, responsibilities and services needed for that project.

Project Scope & Client Specifications

All projects are quoted and planned according to the client’s specific requirements. The final scope may include different features, pages, integrations, platforms or services depending on what the client needs. Any work outside the agreed scope may require a revised quote or additional charge.

Deposits & Final Payment

A 50% deposit is required before any work begins. The remaining 50% is required once the project is complete. The project will only go live, be launched, or be handed over after full payment has been received.

Refunds

The deposit is only refundable if webXcode is unable to complete the project for any reason. Once work has started, the deposit secures project time, planning and development resources and is not refundable if the client cancels or delays the project.

Revisions & Changes

Reasonable revisions are included to refine the project and make sure it matches the agreed direction. Major changes, new features, redesigns, or requests that fall outside the original agreement may be treated as additional work and quoted separately.

Timelines & Client Cooperation

Project timelines are only a guide. A project may be completed sooner or later depending on its size, complexity, third-party approvals and how quickly the client provides content, documents, feedback, login details or required information. For example, payment systems such as PayFast may launch sooner if the client provides verification documents quickly.

Ownership & Project Access

Generally, webXcode manages the project files and ongoing technical handling of the project. If a client requests full ownership of their website, the necessary files and platform access may be provided after full payment. In that case, webXcode will not be responsible for setting up, maintaining, fixing, transferring or supporting the project outside the agreed arrangement.

Project Costs

All expected project costs will be included in the quotation for each project where possible. This may include development work, integrations, third-party tools, platform requirements or other project-specific costs that are necessary to complete the agreed work.

Maintenance

Monthly maintenance is charged separately after launch. Maintenance may include general support, minor additions, updates, checks and assistance to help keep the project running smoothly. Larger changes or new features may require a separate quote.

Cancellation

If a client cancels a project after work has started, the deposit will not be refunded. If the client later decides to restart the project, a new agreement may be required and the client may need to pay the full project amount again, including a new 50% deposit.

Communication & Contracts

Communication will mainly take place through WhatsApp and any other agreed channels. All projects must have a signed contract or written agreement. Approvals, instructions and confirmations given in writing may be treated as final project decisions.
